SUMMARY
The IT Asset Management Specialist will be responsible for the daily activities of IT asset management throughout the Northeast Grocery organization. This includes procurement, inventory tracking, maintenance, and disposal of hardware and software resources. The ideal candidate will have strong organizational skills, a solid understanding of IT asset management processes, and the ability to ensure compliance with company policies and industry standards.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Identify and define purchasing requirements to understand the specifications and quality standards needed for goods or services.
• Conduct market research to identify potential suppliers and products.
• Issue requests for proposals (RFPs), requests for quotations (RFQs), or invitations to tender (ITT) to gather supplier bids as requested.
• Analyze and compare bids or proposals to select the best suppliers for the organization’s needs.
• Ensure that negotiated terms are favorable to the organization and aligned with budget constraints, per dictated guidelines.
• Create and issue purchase orders to suppliers as instructed and/or needed.
• Track the status of purchase orders and follow up with suppliers on delivery schedules.
• Ensure timely processing and approval of purchase orders in alignment with internal and external procurement policies.
Asset Management:
• Maintain and update accurate records of IT assets, including hardware, software, licenses, and other IT-related resources.
• Track assets from procurement to disposal, ensuring compliance with company policies and regulations.
• Manage the lifecycle management of assets, ensuring proper usage, maintenance, and replacement as approved.
• Initiate the secure disposal of IT assets at the end of their lifecycle, ensuring compliance with data privacy regulations and environmental standards for e-waste recycling.
• Conduct periodic physical audits and reconciliation of IT assets to ensure data integrity and identify any discrepancies. Coordinate with internal and external teams to ensure accurate asset reporting.
• Assist in configuring and deploying IT assets as requested.
• Maintain and update asset documentation, including asset tags, warranty information, and maintenance activities.
• Coordinate with internal stakeholders to acquire IT assets and ensure timely delivery.
• Collaborate with business stakeholders to deploy and configure new assets, ensuring they meet functional and company standards.
• Manage select vendor relationships for asset procurement and maintenance activities.
• Work closely with the IT Field Services team to ensure all technicians have the required parts needed to perform their assigned service tasks.
• Perform inspections and/or coordinate with quality control teams to verify the quality of received goods.
• Address any quality issues and coordinate with suppliers for corrective actions.
• Provide regular reports to management upon request on procurement activities, including spend analysis and supplier performance.
MINIMUM QUALIFICATIONS
• Familiarity with ITIL or other industry best practices for IT service management.
• Strong understanding of IT asset management tools and software (e.g., ServiceNow, ManageEngine, or similar platforms).
• Must be able to interpret and follow detailed/specific instructions.
• Ability to communicate effectively verbally and in writing with internal departments on asset inquiries.
• Excellent organizational and time-management skills with a keen attention to detail.
• Present a customer-oriented image of professionalism while adhering to company policies and procedures.
EDUCATION AND EXPERIENCE
• High school diploma or equivalent.
• At least 2 years of related job function knowledge.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and database management systems.
