SUMMARY
The Inventory Coordinator, for Finance, supports the accuracy and integrity of company inventory from a financial perspective across all retail, warehouse, and commissary locations. This position ensures inventory transactions are properly recorded, reconciled, and reported to reflect true financial performance. Working closely with Operations, Procurement, and Merchandising, the Inventory Coordinator provides financial oversight of inventory processes, identifies discrepancies, and supports initiatives to improve inventory accuracy and reduce shrink.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Reconcile inventory balances between store systems, warehouse systems, and the general ledger to ensure financial accuracy.
- Oversee the responsibilities and duties of the Inventory support staff.
- Stands in for the Inventory Manager in their absence.
- Review and analyze daily and monthly inventory transactions, including transfers, adjustments, write-offs, and shrink.
- Collaborate with Operations and Procurement to research and resolve inventory variances and discrepancies.
- Support monthly and quarterly financial close activities related to inventory and cost of goods sold (COGS).
- Prepare journal entries, account reconciliations, and reports to support accurate financial statements.
- Maintain and monitor controls for inventory accounting, ensuring compliance with company policies and audit standards.
- Participate in cycle counts and year-end physical inventories, assisting in reconciliation and variance explanations.
- Support reporting on key inventory metrics such as shrink, turns, and aging to identify trends and areas for improvement.
- Partner with the Commissary, Distribution, and Retail teams to ensure consistent and accurate handling of inventory across locations.
- Assist with process improvement initiatives to enhance efficiency and accuracy in inventory-related financial reporting.
- Provide ad hoc analysis and reporting to Finance leadership as needed.
MINIMUM QUALIFICATIONS
- Strong understanding of accounting principles related to inventory and COGS.
- Excellent analytical and reconciliation skills with attention to detail.
- Proficiency in Excel (pivot tables, v-lookups, data validation) and experience with ERP systems (e.g., SAP, NetSuite, Oracle, or similar).
- Ability to work collaboratively with cross-functional teams in a fast-paced environment.
- Strong organizational and time-management skills; able to meet deadlines and handle multiple priorities.
- Clear and professional communication skills, both written and verbal.
EDUCATION AND EXPERIENCE
- Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
- 2+ years of experience in accounting, finance, or inventory control; grocery retail or food distribution experience strongly preferred.
- Familiarity with grocery or perishable inventory processes (e.g., shrink, spoilage, transfers, write-offs) is an asset.

- Based at the corporate office with occasional visits to stores, warehouses, or commissary locations for inventory review and collaboration.
- Standard business hours with occasional flexibility required during month-end close or inventory events.
