SUMMARY
The Maintenance Coordinator is responsible for coordinating facility maintenance operations, preventative maintenance programs, vendor partnerships, and work order management across multiple distribution, warehouse, manufacturing, office, and support locations. This role serves as the primary liaison between internal maintenance trades, external contractors, department leadership, and facility stakeholders to ensure timely, safe, and efficient execution of maintenance and repair activities.
The Maintenance Coordinator oversees the administration and prioritization of maintenance work orders and preventative maintenance schedules while supporting capital projects, facility compliance systems, fire protection programs, and building operations. This position requires strong organizational, communication, and technical coordination skills to support continuous facility operations across a complex multi-site environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Maintenance Coordination & Work Order Management
• Coordinate maintenance work orders (WOs) and preventative maintenance (PM) programs across multiple company facilities, including:
o Grocery Warehouse
o Perishable Warehouse
o Freezer Warehouse
o GM Warehouse
o 501 Office Space
o Resource Recovery
o Truck Shop
o Data Center
o Building 13 (Print Shop, Mill Shop, Cart Repair/Storage)
o Commissary
• Assist with maintenance coordination and facility-related projects at 461 Nott Street as needed.
• Maintain and manage all maintenance requests within Service Channel or other maintenance management systems.
• Distribute work orders to appropriate in-house trades personnel and/or external vendors.
• Monitor work order status, prioritize requests, track completion timelines, and ensure proper closeout documentation.
• Coordinate maintenance scheduling with department leadership to minimize operational disruption and ensure work is completed efficiently.
Vendor & Project Coordination
• Coordinate activities between internal maintenance trades and outside vendors/contractors on maintenance and facility projects.
• Assist with vendor scheduling, site access, communication, and project execution.
• Track contractor performance, work completion, and service documentation.
• Support facility improvement initiatives, renovations, and special projects as assigned.
Facility Systems Oversight
• Coordinate and maintain fire protection systems, including sprinkler and alarm systems, across all assigned locations.
• Support compliance inspections, testing schedules, and documentation requirements related to fire and life safety systems.
• Assist in maintaining emergency backup systems and facility safety programs.
• Coordinate rotational on-call coverage for building and grounds support functions.
Technical & Operational Support
• Support preventative maintenance programs for facility systems, warehouse equipment, and infrastructure.
• Coordinate repairs and maintenance involving:
o Commercial doors and dock equipment
o Conveyor systems
o Material handling equipment
o Plumbing and basic facility systems
o Structural and grounds-related repairs
• Assist with sourcing materials, replacement parts, and vendor services as needed.
• Maintain accurate maintenance records, service histories, and project documentation.
Safety & Compliance
• Ensure maintenance activities are conducted in compliance with company safety policies and applicable regulatory requirements.
• Support facility readiness for inspections, audits, and operational standards.
• Promote a safe work environment through proactive communication and coordination.
MINIMUM QUALIFICATIONS
- Valid Driver’s License required.
- Must be at least 21 years of age.
- Must submit to Driver License Monitoring.
- Strong organizational, communication, and coordination skills.
- Working knowledge of maintenance operations, facility systems, and preventative maintenance programs.
- Experience coordinating vendors, contractors, and maintenance activities preferred.
- Familiarity with computerized maintenance management systems (CMMS), preferably Service Channel.
- Ability to prioritize multiple projects and work assignments in a fast-paced environment.
- Working knowledge of fire suppression, alarm, and life safety systems preferred.
- Ability to work flexible hours as operational needs require.
EDUCATION AND EXPERIENCE
- High School Diploma or equivalent required.
- Associate degree, technical certification, or related facilities/maintenance experience preferred.
- Minimum 3–5 years of maintenance, facilities coordination, warehouse operations, or related experience preferred.
- Experience in distribution, warehouse, manufacturing, or industrial environments strongly preferred.
